1. Introduction
Welcome to The Social Trainer ("we," "our," or "us"). We are committed to protecting your personal information and your right to privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you visit our website and use our services.
By using our services, you agree to the collection and use of information in accordance with this Privacy Policy.

3. Information We Collect
3.1 Personal Information
We collect personal information that you voluntarily provide to us when you:
- Register for an account
- Subscribe to our services
- Contact us for support
- Participate in our community
This information may include: name, email address, billing information, and any other information you choose to provide.
3.2 Automatically Collected Information
When you visit our website, we automatically collect certain information about your device, including:
- IP address
- Browser type and version
- Operating system
- Pages visited and time spent on pages
- Referring website addresses
While you are signed in on the free plan, we also keep a record of what you do in the app: the pages you open, the features you use, the upgrade prompts you see, and whether you were on a phone or a computer. We use it to find where the product gets in people’s way and to decide what the free plan should include. We don’t sell it or share it with advertisers, and it is deleted with your account.
3.3 Cookies and Tracking Technologies
We use cookies and similar technologies for two things. Some are needed for the Service to work: they keep you signed in, keep payments safe, and remember your settings. Others are for advertising: the Meta pixel and the TikTok pixel, and a cookie of our own that records which ad or link first brought you to us. The advertising ones tell us which of our marketing works, and let Meta and TikTok show our ads to people who have visited.
In the European Union, the European Economic Area, the United Kingdom and Switzerland, advertising cookies are off unless you say yes. Everywhere else you can turn them off at any time, and we treat your browser’s Global Privacy Control signal as a request to turn them off. Our Cookie Policy lists every cookie and has the switch. We never load advertising pixels on a trainer’s storefront.
3.4 Content You Upload
When you use the Service, you upload content such as photos, videos, audio, and text, and you create posts and projects. We also keep information derived from that content by automated analysis: descriptions and tags, what a photo or video shows (for example, the setting, the exercise, and how many people are in it), transcripts of speech, the strongest moments in a video, and which photos you have confirmed show you. If you turn on face matching, we also keep its results, as described in section 6.
3.5 Connected Instagram Accounts
You can connect an Instagram professional (Creator or Business) account in Settings, under Connected accounts, so that scheduled posts you choose are published for you at the time you set. Connecting is optional, and nothing is posted unless you turn on “Auto-publish” for that post.
- What we receive from Instagram: your Instagram account ID, username, account type, and profile picture, and an access token that lets us publish on your behalf. We ask only for the permissions to read your basic profile and to publish content.
- How we use it: only to show which account is connected and to publish the posts you have set to auto-publish, at their scheduled time, with the file and caption you chose. When a post is published we keep its Instagram link so you can open it from your calendar. We don’t read your followers, messages, comments, or insights, and we don’t post anything you didn’t schedule.
- How we protect it: the access token is encrypted when stored, is never shown in the app or sent to your browser, and is used only by our servers to publish your posts. To publish a post, we send Instagram its caption and a link to its file shortly before it goes out, and Instagram downloads the file from that link.
- Disconnecting and deletion: you can disconnect at any time in Settings, under Connected accounts, or by removing The Social Trainer from your Instagram settings. Either way we delete the connection and its access token straight away, and your scheduled posts go back to email reminders. Posts already published stay on Instagram. You can also ask Instagram to have us delete your data; we delete it the same way and give you a confirmation code.
3.6 Your Website or Public Instagram Profile
When you set up your account you can give us your website address or your Instagram handle. If you do, we read what is publicly visible there (for example your bio, your name, your business category, and the text of your recent posts) and use it to draft your brand voice and profile, which you can edit. This is separate from connecting your Instagram account (section 3.5): it reads only what anyone can see, and needs no login. If you paste a link to a public video to work from, we fetch that video’s public details and transcript in the same way.
3.7 If You Buy From a Trainer
Trainers sell programs, meal plans and memberships through storefronts on the Service. If you buy from one, we collect your name and email address, a record of what you bought, any answers you give to the trainer’s intake questions, and your progress in the product. Your card details go to Stripe; we never see or store them. The trainer you bought from can see your name, email, purchases, answers and progress, and is responsible for how they use that information. We use it to give you access to what you bought, to send you receipts and sign-in links, and to handle refunds and disputes. We don’t use it to market The Social Trainer to you.
3.8 Messages, Support and Calls
When you email us, use a contact form, chat with the assistant on our website, or book a walkthrough call, we keep what you send us and the contact details you give, so we can answer and keep a record of the conversation. The website assistant is automated, and your messages to it are processed by an AI provider on our behalf.
4. How We Use Your Information
We use the information we collect to:
- Provide, operate, and maintain our services
- Process your transactions and manage your subscription
- Send you emails about your account, getting-started tips, new templates, and our newsletter if you signed up for it. Every email that isn’t about your account or a purchase has an unsubscribe link, and you can change what you receive in Settings
- Measure and improve our advertising
- Respond to your comments, questions, and customer service requests
- Improve and personalize our services
- Monitor and analyze usage and trends
- Detect, prevent, and address technical issues and security threats
- Comply with legal obligations
5. AI Features
We use artificial intelligence to power parts of the Service, including:
- Describing and tagging your photos and videos, so you can search your media and templates can suggest it
- Matching your media to the spots in templates, and learning from the photos you swap in and out to improve your own suggestions
- Transcribing speech in your videos for captions
- Writing captions and other text suggestions
- Removing backgrounds and objects from images
- Finding the strongest moment in a video
- Writing scripts, and planning the cuts in a talking-head video
- Generating pictures of you for your posts (see “AI Photos of You” below)
To do this, your content is sent to AI service providers that process it on our behalf and return the results to us: Google (Gemini), OpenAI, ElevenLabs, fal.ai, and Replicate. We do not use your content to train artificial intelligence models, and we do not sell it.
Results produced by AI can be wrong. Please review suggestions, captions, and edited images before you publish them.
5.1 AI Photos of You
Some templates are built around pictures of you. If you choose to use this feature, you give us a few photos of yourself, and we generate new pictures of you from them for that post.
- It is optional. Nothing is generated unless you add photos of yourself and press the button to make the pictures.
- What is sent: the photos of you that you chose, and a description of the picture to make, go to OpenAI, which generates the picture on our behalf and returns it to us.
- What we keep: the photos you provided and the pictures generated from them, in your account, until you delete them or ask us to delete your account. We don’t create or keep a scan or template of your face.
- What we don’t do: we don’t use your photos or the generated pictures to train AI models, we don’t sell them, and we don’t show them to anyone else. Use this feature only with photos of yourself.
6. Face Matching
Face matching is an optional feature that helps you find photos of yourself in your uploads. It is off unless you turn it on in My Media (“Find more photos of me”), and you can turn it off there at any time.
- What it does: When it is on, we compare the face in your photos and videos that show one person with the photos you have confirmed show you, and we suggest the ones that appear to be you. Only you see these suggestions, and a photo counts as you only after you confirm it.
- What it doesn’t do: We never compare photos or videos with more than one person in them. We don’t use face matching to identify anyone other than you, and we never compare faces against any other database.
- What we keep: We don’t create or keep a scan or template of your face. For each photo or video checked, we keep only whether it appeared to show you and how confident the check was. The comparison is carried out by Google (Gemini) on our behalf.
- Consent: We compare faces only with your consent, which you give by turning face matching on. We record when you turned it on.
- Retention: We delete face-matching results when you turn face matching off, when you delete the photo or video, or when you ask us to delete your account, and in any case no later than three years after your last interaction with the Service.
- No sale: We don’t sell, lease, trade, or otherwise profit from face-matching results, and we don’t disclose them to anyone except the provider that performs the comparison for us, or where required by law.
7. How We Share Your Information
We may share your information in the following situations:
- Service Providers: We share your information with third-party service providers who perform services on our behalf, such as payment processing, data analysis, email delivery, and hosting services.
- Business Transfers: We may share or transfer your information in connection with, or during negotiations of, any merger, sale of company assets, financing, or acquisition of all or a portion of our business.
- Legal Requirements: We may disclose your information if required to do so by law or in response to valid requests by public authorities.
- With Your Consent: We may disclose your personal information for any other purpose with your consent.
8. Third-Party Services
Our services may contain links to third-party websites or services. We use the following third-party services:
- Payment Processing: Stripe (for secure payment processing)
- AI Services: Google (Gemini), OpenAI, ElevenLabs, fal.ai, and Replicate, which process your uploads to provide AI features (see section 5)
- Storage and Processing: Amazon Web Services (for storing your media and rendering your videos), MongoDB Atlas (database), and Firebase (sign-in)
- Instagram (Meta): if you connect an Instagram account, to publish the posts you set to auto-publish (see section 3.5)
- Advertising: Meta and TikTok, through the advertising pixels described in section 3.3
- Public profile lookups: Apify, which fetches the public website, Instagram profile or video you point us to (see section 3.6)
- Email Services: Postmark, for sending account emails and marketing emails
- Hosting Services: Vercel, for website and application hosting, and Sanity, for the content of our website and support center
We are not responsible for the privacy practices of these third parties. We encourage you to review their privacy policies.
9. Data Security
We implement appropriate technical and organizational security measures to protect your personal information. However, no method of transmission over the Internet or electronic storage is 100% secure. While we strive to use commercially acceptable means to protect your information, we cannot guarantee its absolute security.
10. Data Retention
We retain your personal information only for as long as necessary to fulfill the purposes outlined in this Privacy Policy, unless a longer retention period is required or permitted by law. When we no longer need your information, we will securely delete or anonymize it.
Your uploaded content, and the information derived from it, is kept until you delete it or ask us to delete your account. Face-matching results are kept only as described in section 6. A connected Instagram account and its access token are kept until you disconnect it, remove our access in Instagram, or delete your account, as described in section 3.5.
11. Your Privacy Rights
Depending on your location, you may have the following rights regarding your personal information:
- Access: Request access to your personal information
- Correction: Request correction of inaccurate or incomplete information
- Deletion: Request deletion of your personal information
- Data Portability: Request a copy of your information in a structured format
- Opt-Out: Opt-out of marketing communications at any time
- Withdraw Consent: Withdraw consent where we rely on consent to process your information
To exercise these rights, please contact us at contact@thesocialtrainer.com. To ask us to delete your account and everything in it, use “Delete my account” in Settings, or follow the steps on our data deletion page. We act on a deletion request within 30 days. We may keep records we are required to keep by law, such as records of payments.
12. GDPR Compliance (EU Users)
If you are located in the European Economic Area (EEA), you have certain data protection rights under the General Data Protection Regulation (GDPR). We process your information based on:
- Your consent
- Performance of a contract with you
- Compliance with legal obligations
- Our legitimate business interests
Face matching is processed only on the basis of your explicit consent, which you can withdraw at any time by turning it off.
You have the right to lodge a complaint with a data protection authority about our collection and use of your personal information.
13. Children's Privacy
Our services are not intended for individuals under the age of 18. We do not knowingly collect personal information from children under 18. If you become aware that a child has provided us with personal information, please contact us, and we will take steps to delete such information.
14. California Privacy Rights
If you are a California resident, you have specific rights regarding your personal information under the California Consumer Privacy Act (CCPA). This includes the right to know what personal information we collect, the right to delete your information, and the right to opt-out of the sale of your personal information. We do not sell personal information.
Our use of the Meta and TikTok advertising pixels may count as “sharing” personal information for cross-context behavioral advertising under California law. You can opt out at any time under Your privacy choices, and we honor the Global Privacy Control signal from your browser as an opt-out. We will not treat you differently for using any of these rights.
Face-matching results may be considered sensitive personal information. We use them only to provide face matching to you.
15. International Data Transfers
Your information may be transferred to and maintained on computers located outside of your state, province, country, or other governmental jurisdiction where data protection laws may differ. By using our services, you consent to such transfers.
16. Changes to This Privacy Policy
We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page and updating the "Effective Date" at the top. You are advised to review this Privacy Policy periodically for any changes.
